How to Price Party Hire (Without Racing to the Bottom)
Pricing is where new operators lose the most money, usually by going too low. Undercharge and you train your whole area to expect cheap, attract the most demanding customers, and work yourself into the ground for thin margins. Whether you hire castles, marquees, photo booths or DJ rigs, here is a simple framework to set rates that are competitive and actually profitable.
Start with your costs, not your competitors
Before you look at anyone else prices, work out what one hire actually costs you. Spread your fixed costs (insurance, any testing, the kit itself over its lifespan) across the number of hires you realistically expect in a season, then add the variable cost of each job: fuel, your time to deliver, set up and collect, cleaning, and wear.
That number is your floor. Any price below it means you are paying for the privilege of working. You would be surprised how many operators have never done this sum.
Set a day rate, then build around it
Most operators price per item per day, with a standard full day hire as the anchor. Weekend and bank holiday rates can sit higher, because that is when demand peaks and your supply is limited. Multi day and midweek rates can be lower to fill quiet slots. Bundles, for example a marquee plus lighting, or a castle plus soft play, let you raise the average order value without competing purely on the headline price.
Charge for delivery, or build it in
Delivery, set up and collection cost you real time and fuel. You can either charge a separate delivery fee that scales with distance, or build free delivery into your day rate within a set radius and charge beyond it. Free delivery is a strong selling point, but only if your rate actually covers it. Decide your radius and stick to it.
Take a deposit, every time
A booking with no deposit is a maybe, not a booking. A deposit cuts no shows, filters out time wasters, and protects you against last minute cancellations that you could have filled. Taking the deposit at the moment of booking, online, is far more reliable than chasing it by text afterwards.
