How to Start a Party Hire Business (UK and Ireland, 2026 Guide)

A party hire business is one of the most flexible ways to start a venture in the UK or Ireland. Whether you hire bouncy castles, marquees and gazebos, soft play, sound and lighting, photo booths or games, or you are an entertainer, DJ or photographer taking bookings, the model is the same: people pay you to help make their event happen, mostly at weekends and in the warmer months.

It is also a business where the boring parts decide whether you make money. Insurance, the right kit, and a booking system that never double books are what separate the operators who last from the ones who burn out after one chaotic summer.

This guide walks through every step, from your first piece of kit to your first hundred bookings. Where the rules differ between the UK and Ireland, such as tax and insurance, we flag both, and where a vertical like inflatables has its own rules, we point you to the detail.

Is a party hire business worth it?

The maths is attractive. A single piece of kit, a castle, a marquee, a photo booth or a DJ rig, can be hired out for a day rate that, over a busy weekend, covers a meaningful chunk of what it cost you. Run a few lines across a summer of birthdays, weddings, communions and community events and the equipment pays for itself inside a season or two.

The catch is that it is seasonal and weather dependent. Most of your revenue lands between April and September, with spikes around school holidays and the early summer party season. You need to make hay while the sun shines, and that means being easy to book and impossible to miss when someone is searching at 9pm for their Saturday.

Decide what you will hire

Start narrow. One or two strong lines beat a scattergun of everything. Pick where your money and interest fit best: inflatables (bouncy castles and soft play), structures (marquees and gazebos), entertainment (DJ and PA rigs, lighting, photo booths), or services you sell by the day (photography, face painting, games, catering equipment).

Whatever you choose, buy quality kit that is built for commercial hire. The single biggest mistake new operators make is buying cheap to save money up front. Cheap kit is hard to resell, fails faster, and puts customers off for good. This matters most with inflatables, where a non commercial unit cannot be insured at all.

Work out your startup costs

Your main costs are the kit itself, a way to transport and store it, and insurance, plus the smaller essentials each line needs. Map these out before you spend, and start lean: a focused setup you can actually fill beats a big fleet sitting idle.

If inflatables are your main line, our bouncy castle startup costs guide breaks those specific numbers down, including the buy versus lease decision.

Register your business

Most operators start as a sole trader. In the UK you register as self-employed with HMRC for Self Assessment. In Ireland you register with Revenue using a TR1 form or through Revenue Online Service (ROS), and you need a PPSN. Irish operators trading under a name that is not their own also register that business name with the Companies Registration Office; UK sole traders do not register a name but must follow the rules on what a business can be called.

Keep an eye on VAT. Hire is a service, and the registration threshold is turnover of £90,000 in the UK or €42,500 in Ireland, measured over any rolling 12 month period rather than the calendar year. Many part time operators stay under it, but a growing business will cross it, so track your turnover from day one and check with an accountant before you assume you are below the line.

Get the right insurance

Public liability insurance is the core cover for any party hire business, and most event organisers, venues and councils will not let you on site without proof of it. What you need depends on what you hire.

Inflatables carry the strictest requirements: higher cover, annual PIPA testing and conformity to EN 14960. Our bouncy castle insurance and safety guide covers those specifics. Marquee, sound, lighting, photo booth and entertainment hire still need public liability, but the testing regime is lighter. Whatever your line, ask each venue and organiser what cover and certificates they require, and keep your paperwork in order.

Price your hires

Price too low and you train your area to expect cheap. Price too high with no reviews and the phone stays quiet. The right number depends on your kit, your delivery radius, your day versus weekend split, and what established operators near you charge. Our pricing guide gives you a simple framework that starts from your real costs.

Get found and get booked

A party hire business lives or dies on being findable when someone is searching, and bookable without a five message back and forth. That means a Google Business Profile, a simple website, and a booking system that shows real availability. Our guide on getting your first bookings goes deep on this.

Run it without losing your weekends

Once the bookings come in, the admin is what kills the joy. Phone tag, deposits chased over text, a paper diary that does not stop you accepting two jobs for the same item on the same Saturday. This is the exact problem PartyOps was built to solve.

Where PartyOps fits

PartyOps is an all in one operations platform built for the whole party hire trade, whether you run bouncy castles, marquees, soft play, DJ and sound rigs, photo booths, or you are an entertainer or photographer. You add your kit or services, drop a one line booking widget on your website, and customers book and pay themselves. The calendar uses atomic availability checks, so the same item can never be booked twice for the same date. Invoices, customer records and card payments through Stripe are all in one place.

In plain terms, it is the difference between spending Sunday night reconciling a notebook and waking up to confirmed, paid jobs. You can start free, no credit card needed, and switch over from spreadsheets in about ten minutes.
